Doxit offers a secure document delivery service which is particularly suited for use by lawyers.
Lawyers often have to generate court documents by combining and re-numbering the pages of a number of different source documents.
Printing and combining paper documents, followed by numbering the pages by hand, can become a very tedious and time-consuming exercise. Adding a single extra page to a final document, can often require the whole process to be repeated again. It makes much more sense to process the documents in electronic (PDF) format, followed by printing only the final document if necessary.
The software tools to merge and paginate PDF documents can be very expensive, with the result that it becomes tempting to rather use on-line services to perform these tasks. However, with the imminent POPI Act, this is not so simple anymore because many documents include personal information that has to be protected. These on-line document manipulation services do not guarantee the secrecy of the uploaded documents. These services are furthermore generally located outside South Africa’s borders. The POPI Act does not allow the transmission of personal information across South Africa’s borders, unless very specific requirements are met.
Since Doxit already offers a secure environment for users to upload, send and receive documents, it makes sense to also include a service to do the basic PDF document manipulations necessary to prepare court documents in a secure way. This service will be extended in the future and includes at the moment:
Merging two or more PDF Documents
After a secure logon to the Doxit server, a user can upload multiple PDF documents. Small thumbnail images of the uploaded documents are displayed. The sequence in which the documents will be merged can be changed by dragging and dropping the document images into the right order. A click on the “Merge” button will combine the documents into a single new PDF document which can be sent to other Doxit users or downloaded and printed.
Paginating a PDF Document
Page numbers can be added to an uploaded (or merged) PDF document by clicking on the “Paginate” button after selecting the document. Page numbers are added to each page in a consistent way which is differentiated from other page numbers that may already be printed on the pages.
Extract pages or split a PDF Document
The page extraction tool can be used to extract specific pages and/or page ranges from a PDF document. This tool can also be used to split a PDF document by groups of page ranges.
Add Electronic Signatures
An Electronic Signature is an electronic image of your hand-written signature which has been electronically scanned or photographed. Signatures (or any image) can be uploaded and placed within any page in a PDF document. Whilst an Electronic Signature does not provide the cryptographic security of a Digital Signature, Doxit provides a convenient tool to insert Electronic Signatures where the intention of the signing party is to execute a contract or agreement which is already provided in electronic format.
Add Text Annotations
An Annotation is a textbox containing plain text which you can edit and place anywhere on any page of a PDF document.
Indexing a PDF Document
The South African Courts have very specific rules when it comes to how court documents should be prepared. Doxit has implemented those rules and provides a very simple and intuitive interface to:
- Paginate the document (header and index pages are not numbered)
- Split the document into volumes (bundles)
- Add a header page to each volume
- Add a Consolidated Index to the first volume (showing the indices of all volumes)
- Add a header and a volume-specific index to the start of each volume
The indexed document can be sent to another Doxit user or downloaded and printed.
